What You Need to Know About Our Online Notarization Service

1. Online notary services are legal.

Yes. Traditionally notary public and commissioning services have required clients to physically be in the presence of a notary public. However, due to Covid-19, the Government of Ontario has allowed notary public and commissioning services to be provided online in Ontario. Learn more here.

2. There are requirements.

  • Your document must already be in electronic format or if it is a paper copy you must have a scanner to scan and create  an electronic copy.
  • You must have access to a phone or computer / laptop with a webcam. We use Zoom as our web conferencing program but you do not need to download the Zoom application. 
  • You must have two pieces of valid government-issued ID and must scan them to us before your scheduled online appointment. Examples include driver’s licence or passport.

3. You do not have to be in Ontario.

Subsection 45(2) of the Ontario Evidence Act provides that an affidavit sworn outside Ontario before a commissioner for taking affidavits in Ontario has the same effect as if the affidavit had been sworn in Ontario. 

4. Not every document can be notarized online.

Unfortunately online notarization has its limits and not every document can be notarized online. Generally, we do not recommend online notarization for documents where the final destination is outside of Ontario.

​Ultimately it is up to you to make sure the receiving organization will accept a document that is notarized online. That said, here are some documents that we regularly notarize online:

 

  • Oaths & Affidavits (i.e. OSAP Affidavit, Translator’s Affidavit, Affidavit of Service, etc.)
  • Statutory Declarations (i.e. Statutory Declaration to obtain RIN Number) 
  • Sworn Statement for a Family Gift of a Used Vehicle  
  • IMM 0006… and many more!

What You Need to Know About Our Online Notarization Service

When you are unable to attend our office, we can come to you. There are many reasons that you may require a notary to attend your home, office, hospital, school etc. Some of the reasons include the following:

Convenience

A document requires the signature of multiple parties and it is difficult to have everyone attend our office

You don't have the time to travel to our office

\

Hospitalization

\

Inability to travel due to a disability or lack of transportation

You find it more convenient to have a notary attend your office or home

We charge a travel fee and a Notarization fee. The travel fee will vary depending on multiple factors such as distance from our office, time of day, urgency with which you require the document, availability of Notaries, etc. For a quote please contact us. 

Process

Our AC Process

Step 1 – Book Your Appointment

​Our online appointments are conducted by notary publics from our Markham office. To book, please click here or scroll down.

After you select your appointment day/time you must pay in order to book your appointment.

After your appointment is booked, we will send you a confirmation email with an ​invitation link via web conferencing (Zoom).

Step 2 – Pre-Appointment

Prior to your appointment, you will need to send us an email with:

  1. the document to be notarized online; and
  2. photocopies of two (2) pieces of photo ID (i.e. driver’s license, passport, etc.).

Step 3 – Attend Online Notary Appointment

At your online notary session, the notary will:

  1. verify your identity. This will require you to have on hand the two ID’s you photocopied to us;
  2. ask you to sign your document before them, and ensure the document signed is the same as the one sent to us; and
  3. have you scan and send the document signed by you back to us via email.

Step 4 – Payment

​Payment can be made via e-transfer following your appointment. Receipt provided upon request.

Step 5 – Post-Appointment

Once we receive your signed document via email, our notary will then sign to complete the notarization process.

Thereafter, the notary will:

  1. Scan the finalized document and email a completed electronic copy back to you; and
  2. If you require the original, we will send the original to your designated address. Please note that additional fees apply.
